Creating an additional Balance on a Claim

This would be used for creating an additional balance on a claim. User for instances as:

  • Interest Payments
  • Incentive Payments

Prior to starting adding the balance, you will need to create the code you will be adding, such as an Interest Payment code in the Billing -> Manage Tab: Add/Edit CPT Codes

*Please note: Your Send Claims Bucket should be empty prior to starting the below process

First, you will want to go into the Claim for the Date of Service that you are wanting to add the balance to. This can be done inside the Patient Demographics -> Claims tab or in the Billing tab -> Claims -> Search Patient. Click on the Blue hyperlink Claim number:

Once inside the claim, you will be editing the encounter to add the additional line. Click on the Edit Encounter on the upper right hand side

On the next screen, click on the Blue hyperlink encounter number:

Once inside the encounter, you will Re-Open the claim using the blue button on the lower right:


Now that the claim is open, add in the line to the encounter.

If the Line is not showing up in the pop-up, it may be due to the Insurance is set at Listed Codes Only. You will need to add that new code to the insurance company.

To edit the amount that you need the balance to be (if not done during the creation of the Add Line), click on the edit pencil of that line and go to the Advanced tab to change the Billed amount for this line:

As soon as everything looks good, you will approve this just like a regular claim. 

The difference will be in the Send Claims bucket. If it is an electronic claim, you will change the send method to Download.

Now, you can go back to the Insurance payment and Add the Date of Service again.

The new line will appear where you are able to apply the payment towards.
