How to access the Flowsheet

You are able to access the Flow sheet from 2 main areas:
  • From inside the Documentation through the Action Menu (this is available in all documentation except the Unplanned Discharge):
  • From the Document tab -> Flowsheet -> Select Patient. (Start: Has not been opened, Edit: Has been started)

    Custom Settings for the Flowsheet

    Customizing how the flowsheet will show on the final document can be found inside the Customize button. **Please note this is privilege restricted to Admin and Power Users
    This located in 3 places
    1. General Tab -> Customize button by the Cancel Graph
    2. In the documentation at the bottom -> Customize button
    3. Admin tab -> Practice -> EMR -> Customize button
    4. For any of these changes to reflect, you will need to log out and back in.
      • Red: Print Experiences on Note - You will have the choice to say No, Yes - Grouped (classic Treatment Details), Yes - Detailed (example below)
      • Blue: Print Experiences on Eval/PN/DC - You will have the choice to say No, Yes - Grouped (classic Treatment Details), Yes - Detailed (example below)
      • Green: Copy Amount w/ Experience - When you are using any of the Copy functions in the Daily Note or the Experience log, this will copy the amount (reps or information) attached to that experience into the current visit
      • Purple: Auto Add Charges - This will automatically add the charges to the check out screen based on the CPT selected and minutes on the experiences. (Currently this is only based on AMA guidelines, please be sure to check your Medicare coding before checking out the patient.)
      • Orange: Auto Update Daily Notes -> Total Minutes - As minutes are being attached to the flowsheet, the Total Minutes box on the daily note will automatically update to reflect on the note.
      Examples:
        • Yes - Grouped (classic)

        • Yes - Detailed - Must have CPT codes linked for this to populate on the document. This currently only allows 43 characters to print on the PDF

    Using the Flowsheet with CPT linkage

    Once you are in the flowsheet you will see multiple appointments across the screen (up to 10 visits) with past experiences and amount.
    When you are adding your amounts for this visit for the patient, it will populate all previous experiences into the List. You do not have to fill them all out if some were discharged from the treatment already or you are not completing them on this day.
    Today will be Highlighted in Blue for easy viewing:
    Breaking down the individual experience and the fields:
    • Red: This is the Amounts field that was a text box in the classic Experience log. This field looks small, but it will allow 4000 characters. This is a required field for this information to populate on the final document.
    • Green: This is where you will link the CPT code for billing. Heno will look at the billing rules on the Manage tab and inside the insurance to ensure coding is correct for the appointments based on practice rules.
    • Blue: This is the minutes that was spend on the experience. This will update the CPT units linked based on the amount of time added. It will look at the AMA and Medicare rules to help guild the billing units.
    You will be able to add experiences from this screen by click on Add (Red) at the top of the Page.
    In the pop-up you will have the choice of adding a Bundle of Experiences or an Individual Experience:
    • Blue: Individual
      • Orange: Experience Selection
      • Green: Amount - Reps or information for the experience
      • Pink: Procedure Codes - This will add the CPT code to the experience
      • Purple: Minutes - Time taken to complete this experience

    • Blue: Bundled
      • Green: Bundle - Select the bundle of experiences you would like to add
      • Pink: Procedure Codes (optional from this screen) - If selected here it will apply this procedure code to all experiences. You will be able to edit the code after adding the bundle
      • Purple: Minutes (optional from this screen) - If added here it will apply to all experiences. You will be able to edit the minutes after adding the bundle.
      • **Please Note: you will need to add an Amount value into the experiences once they have been added to the experience log.

    If you do not see the experience you need and want to add it to Heno at this time, you can click on the Action Menu to Add Experience or Manage the Experiences:
    • Yellow: Add Experience - This will allow you to create a new experience from this page.
    • Red: Manage Experiences -This will take you to the Document -> Settings for the experiences

    Once you are completed with the flowsheet, you will be able to toggle back to the Documentation you were on previously. For this article, we will be togging back to the Daily Note using the Back button at the top.
    On the Daily Note, you will see the CPT charges have been added and the Total Minutes area has been filled in based on the selections in the Flowsheet:

    Using the Flowsheet without CPT linkage
    This will be very similar to the steps above, except one (1) main area. You will not be selecting the CPT code on the Flowsheet and they will be added from the Copy 2.0 or from inside the check out.
    Once you are in the flowsheet you will see multiple appointments across the screen (up to 10 visits) with past experiences and amount.
