About the Commissions

  • The commissions in the General store will allow the ability to setup a fixed price or percentage for each user/item in the General Store
  • This can be accessed
    • Set up in General Store -> Commission -> Set up
    • OR General Store -> Item -> Edit -> Commission
    • From the user reporting, General Store -> Commission -> My Commission
    • To pay out the users, General Store -> Commissions -> Report/Pay

Who has access to this? 

There are two privileges that have been added for this section of the General Store. These can be set up inside the Admin -> User.

Sales: Commission - Pay This will give the user access to the Pay tab and the Report tab of the commissions
Sales: Commission - Set This will give the user the ability to set up commissions in the General Store

For the My Commissions tab to populate information, at least one (1) commission must be set up for the logged in user and reflect changes after logging out and back in.

Where to Set up commissions

There are two (2) main ways to set up the commission inside.

1. At the Item Level

*Please note: To access the item, you will need the privilege Sales: Items

This can be found inside the General Store -> Sales area at the top of the page. There will be a tab that state Item:

When you are in this tab, you will want to either Create a new Item (Upper right hand side) or Edit a current item (edit panic next to item). For this article, the Edit will be used. 

Once the item is open, you will have the choice to scroll to the bottom of the item or use the tab at the top:

Commission Setting Options for each Item

  • Employee - This it the employee that will receive a commission
  • Commission Type
    • Percentage - Percentage of the Item price at sale 
    • Fixed Amount - Fixed dollar amount of the item.  If more than the item Heno will set to item cost
    • Nothing - This will auto-populate a zero (0) into the amount field.

You will want to click Save on the Commissions grid prior to clicking Apply Changes:

2. On the Setup tab

This can be found inside the General Store -> Commission -> Setup. You will start by clicking Add Row:

This will start a new row for you to select the following:

  • Red: Item - The general store item the person will be receiving commission for
  • Blue: Employees - The employee who will receive the commission
  • Green: Type - The type of commission they will receive (Fixed, Percent, or Nothing)
  • Orange: Amount - The amount of the fixed dollar or percent of commission on the item

DOn't forget to Save! The blue triangles in the upper right hand corner of the box will let you know this field has not been saved:

Sales Reps

The Sales Rep will be selecting at the time of the order creation who will be getting the commission on this order. This is set this way due to many users can be linked to one item.

**Please note: This will default to the logged in user creating the order

To start the order, you will want to be in the General Store -> Sales area and Click on Create Order or Order Entry:

In the initial creation, the commission selection is chosen (don't worry, if there is a mistake it can be changed inside the order or by and admin after):

  • Red: Patient - The order this patient is for. You are able to create a new patient at this time as well.
  • Blue: Commission - The person receiving commission on this sale
  • Green: Location - The location this transaction will be tracked under
  • Orange: Chart (optional) This will print the diagnosis codes on the receipt

Once your item is added to the order, you can either click on Pay to check out the order or Switch the Commission information by clicking on the Double Arrows (please ignore the boxes, I was prepping for the article)

There is one last check for the correct commission person when you are completing a manual check out only:

After the patient has been checked out and payment was collected, the order screen will have an admin area if information needs to be updated at this time. This is correlated with the Sales: Admin privileges and rules:

When is commission calculated and options after

The commissions will be calculated based on the following:

  • When an order is closed and the balance is zero.  Commission will reflect immediately or, within 5 minutes depending where/how the order is 
  • Is based on the commission set at that time of the order

**Please Note the following:

  • If an item commission is changed and it's already calculated it will not change unless you go to General Stores -> Commission -> Report -> Edit Pencil
    • Check the "Re Calculate Commission" box and click "Apply Changes"
  • To change the commission employee AFTER it's calculated you can go to General Stores -> Commission -> Report -> Edit Pencil
    • Change the "Sales Rep"
    • Check the "Re Calculate Commission" box and click "Apply Changes"

  • Once a Commission Payment is made under General Store -> Commission -> Pay it is LOCKED in and will not be re-calculated
  • If a promo code is used and an item has a Percentage based commission the commission will be calculated on the price AFTER the promo.  Fixed commissions remain the same regardless of a promo being applied

Pay Commissions

You will be able to track what commissions were paid and how they were paid.

This can be found in the General Store -> Commission -> Pay area. To start a new commission, click on Create in the upper right hand side:

In the Pop-up, fill in the following information:

  • Red: Description - This is a field to title the payment. (I.e. July 2020 Jania Commission Payment)
  • Blue: Reference Number - Tracking the type of payment such as a check number you are issuing
  • Green: Notes - Any additional notes you would like to mark for this commission

Click on the Plus sign to start adding commission to this report:

Select the payments that will be issues on this payment:

The sale total and the commission total will show on the report.

The last step to paying out the commission in Heno is to Click on the Edit on the upper right hand side and fill out the pop-up information:

  • Red: Payment Method - The way you made the payment
  • Blue: Paid Date - The date you issued the payment
  • Green: Paid - Turn on to reflect payment complete and to be reflected on the employee's paid commission report

***Please Note: Once an item is marked as Paid it will update into the Employees "My Commission" area

Reports

1. My Commission - This report shows commission for the logged in user and has 3 default reports options and Gauges

  • Red: Awaiting Client Payment in full - These are orders that still have a balance remaining and can't be commissioned until paid in full
  • Blue: Recent Commission Payments - Last 30 days of commission that have been paid to a given employee
  • Green: Ready to Pay - These are paid in full orders that are waiting for the Clinic to initiate a payment to the employee under the "Pay" tab

2.  Report - This is the same as "My Commission" but, shows ALL employees for the clinic. **This will be linked to the Sales: Admin privileges
