Transferring from another EMR?

Below are the basic transition steps:

  1. Pick a Go-Live Monday a few weeks out for when you plan on treating patients 
  2. Begin Creating/Scheduling Patients in Heno for anyone after that Date by creating the patients manually
  3. If transferring data into Heno, work with your old EMR to ensure you can get them to e-mail your data download of your patients information and provide them to Heno.
    1. Patient Data will need to be reviewed and approved by our development team, most data uploads can occur at a minimum of 1 week from the data being Approved.
  4. Please be aware that we do NOT transfer in Case information from Web PT/Other EMR's as the data does not transfer between EMR's
  5. Begin working your patients in Heno on Go-Live Monday. 
  6. As it’s time to check-in patients you’ll want to enter their case/insurance Policy/Auth Information prior to checkout
  7. Continue to work visits prior to go-live Monday in the previous software

When Transferring into HENO, we can import the following data:

  • Patient Demographics
    • First Name
    • Last Name
    • Gender
    • Date of Birth
    • Email
    • Address Line 1
    • Address Line 2
    • City
    • State
    • Zip Code
    • Phone Number
  • Insurance Companies
    • Name of Company
    • Address Line 1
    • Address Line 2
    • City
    • State
    • Zip Code
    • Phone Number
    • Fax Number
  • Referring providers
    • First Name
    • Last Name
    • NPI
    • Fax Number
    • Phone Number
    • Email
    • Address Line 1
    • Address Line 2
    • City

    • Zip Code

What is not about to be imported? (The practice will need to manually adds this into the patients that are imported)

  • Insurance company, and policy IDs are not imported 
  • DX codes are not imported on the patient's chart
  • Patient Documentation* (WebPT Documentation can be transferred into HENO) 
  • Past Claims, Charges and Payments (Past Claims and Claim resubmissions must be done from your prior EMR)
  • Past Scheduled Visits

What file type does do the data need to be in:

  • For the three files we are able to import including: Patient Demographics, Insurance Companies, & Referring provider it must be provided a Flat Excel spreadsheet format

Who do you send the files to/ Where do you upload the files?

FOR WEB PT: If your prior EMR provider was Web-PT, please forward the two seperate emails that Web-PT provides to you to:

  • Jeff@heno.io
  • Please Label the Subject with your Practice Name

FOR ALL OTHER EMR's:

  • Please contact your Onboarding Specialist that you have received you data from your prior emr at onboarding@heno.io
  • To help keep your patient information safe and secure, please upload the files to your Admin Uploads Tab: 
  • Admin Tab > Practice Sub Tab > Uploads > Drop files in outlined box or click to uploa 

Payments must be paid in full prior to the data import.
