How to Set up Your Patient Portal

You will need to add the Privilege to the users (This was automatically added to anyone with Admin: Power User during the release)

Activating the Portal

You will need the General Store in order for the patient portal to be active. If you want the General Store, please email us at Support@Heno.io.

To set up your patient portal, go to the Patient Portal Tab:

An alert will appear stating that a privilege is needed to activate the portal.

Select "Activate/De Activate Portal" to activate. (Please keep in mind, once you activate or make any changes to this page, it will take about 10 mins for the changes to take affect.)

General Set Up

  • Portal ID (ORANGE)
  • Portal Status (GREEN)
  • Patient Sign-in URL (PINK) - This link will take the patient to the log-in screen for the patient poral
  • New Patient Registration (YELLOW) - This link will take them to the new patient registration landing page
  • Problem Description Label (PURPLE)- This is the question to ask the patient about their condition etc.
  • Schedule Method (BLUE)- Text Field - On the initial "Patient Registration" page a field called "When are you available to come in?" is presented for the patient to type when they would like to come in. Slots - Pre-built slots are created that have Slot Types allowing patients to schedule in them.
  • Require Password on Create (RED)- If checked will prompt/require the patient to set a password. If a password is unspecified they can click the "Forgot Password" link later and it'll email to them
  • Require Account Validation (RED)- If checked will e-mail the patient a validation code that they must enter before being able to activate their account
  • Ask Gender at Registration (RED)- If No patient will not be asked for gender but, the clinic will need to select it upon making changes to the patient.
  • Allow Uploads (RED) - This will turn on the ability for patients to upload information to the practice
  • NEW!!! Request Card on file (RED)- This will request the patient to insert their card information.
  • NEW!!! Portal card on file label (BLACK) - This will display prior to the customer clicking on the tile to supply their card information. Ideal for any required disclosures and/or reasons why the clinic wants to have the card information on file

Schedule

  • Schedule Method (RED)
    • Text Field - On the initial "Patient Registration" page a field called "When are you available to come in?" is presented for the patient to type when they would like to come in 
    • Slots - Pre-built slots are created that have Slot Types allowing patient to schedule in them
  • Show Slot at Least This Many Hours Out (BLUE)- Buffer time set for when patients can schedule an appointment. Example 72 hours from Friday would mean they can not schedule until Monday
  • Do Not Show Slots More Than This Amount of Days Out (Orange)- This is how far in the future patient can see the schedule for. Example 1 week, 2 weeks, 3 weeks or a month.

Location

  • Practice Address (PINK)- Your practice physical address
  • Location Nickname (BROWN)- Practice Name
  • New Patient Email 1 & 2 (RED)- When an email it put in the box, this will send an alert to that email regarding the new patients that have scheduled or have been created via portal.
  • Location Hours (YELLOW)
  • Show In Portal (GREEN)- Option to have your location appear in the portal 
  • Location Defaulted (PURPLE)- Location will automatically be defaulted when the patient schedules but will also have the option to select another location.
  • Location Defaulted and Locked (ORANGE)- Will only allow patients to schedule for that specific location

Referral Sources

You can choose whether you want to make the referral sources Active or Inactive (ORANGE) & whether you want them to Show In the Portal (BLUE).

Insurance Plans

You can select which insurances you want to show in the portal (RED). You can also edit the Insurance Plan Name (GREEN).
