Faxing to Insurance

When faxing to insurances, you are able to fax paper claims as well fax paper EOBs. This article will explain how you will be able to send these faxes through Heno.

For this Process, we recommend that you ensure that your "Send Claims" section does not have any other claims in pending.

To check this, go to Billing > Claims > Send Claims tab. Check that all of the Boxes are zero.

Generating a Paper Claim to Fax

  • Select the claim that you wish to send out (orange box)
  • Set the claim options to "4. Re-bill/Update & Send Later (purple box)
  • Click Submit (red box)

  • Now click on the Send Claim Tab
  • Your claim(s) will show in the Rebills box 
  • Click on Generate Paper Claim PDF

Once the paper claim is generated, it will appear in a link under Recent Paper Claim Downloads.

Click on the link for the most recent claim to download

Your claim will download into your Download folder within your computer.

Click on the downloaded file to view it.

Adding the Fax Number

To add a fax number for an insurance to pull from the selection list in the Fax section:

  • Orange Box: Go to Billing > Insurance
    • Select the insurance you want to add the fax number to
  • Purple Box: Click on the Plans tab
  • Pink Box: Now make sure you are under the General Tab sub-section of the Plans tab.

Next go scroll to the bottom of the page and add the fax number under Insurance Plan Contact. 

Now Apply Changes. Once you have saved the changes, you will be able to pull the insurance fax number from the selection list within the Fax section.

Faxing the Claim

  • Orange Box: Click on the Fax section
  • Red Box: Click on Outgoing
  • Black Box: Click on Create

Click on the Choose File to attach the PDF you would like to be sent.

If you would like to link your patient(s) to the fax, select the patient(s) you would like link. 

Be sure to type in your ten digit number in the "Fax #" box or select the insurance that has a fax number attached to it. Select the three dots (orange box)

Now Click Send

Here you will be able to see the status of your fax or edit it if you need to.
