Schedule - Cancel/No Show

In this article, you learn how cancel an appointment if the patient requested it or if the patient was a no show.

To Cancel an appointment with the Schedule:

  1. Go to Schedule > Click on the appointment that you need to Cancel

Next, you're going to click on the Canx button.

In the next window, you will be given six different option to choose from when canceling the appointment.

  • Purple Box 
    • This option means that they gave the proper notice and won't be charged. 
  • Light Green Box 
    • These two options mean that you have waived the fee for cancellation or no show
  • Orange Box 
    • These options will have the cancellation and no show fees
  • Blue box 
    • This means that the appointment was created by accident. This will make it so it does not reflect on the patients account what so ever. 
  • Dark Purple Box 
    • Means the patients name will be removed from the schedule but the Slot will remain. 
  • Cancel Tag
    • If you want to place a tag to the cancelled appointment, it will show in the Cancel/No-Show report.
  • Cancel Note
    • Add any note to the cancelled appointment for reporting
  • Save and Delete Slot 
    • Will delete the patients name as well as the Slot from the schedule.

    When you have clicked the Save button, a CX/NS order will be automatically created in the General Store. *Please note: You must have the General Store add on to view the CX/NS order

    You can find this order within the General Store section.

    To view all CX/NS orders and take payment for fees, click the Open CX/NS Order bubble


    Select the order you will be taking for
    Now select Pay to take payment

  • Black Box
    • Select the location and chart associated with the payment
  • Orange Box
    • Select the method of payment and the amount that was collected
  • Add Notes (Optional)
  • Red Box
    • Click Submit to apply the payment


    Click on the link to view the receipt. You can Print or email the the patient's receipt. 
    When the Patient comes in for the next appointment, they are going to have an Action Item attached to their appointment. An Action Item is a Cancel or No Show that needs to be discussed with the patient

    *Please Note: The system will not let that patient be checked out until the Action Item is addressed. 
    You can click on the Action Item bubble to view the item.  

  • Blue Box
    • If the order was paid in the General Store set it to Complete 
  • Green Arrow
    • If the patient was unable to take care of the payment at that visit you can set it to Working and Remind me at Checkout. You will then be able to check the patient out.
